Event Promotion Guidelines

What Events Does the College of Design Communications Team Support?

The College of Design Communications team provides promotional support for a myriad of large-scale, external-facing alumni and donor events per year, providing both expert technical support and marketing solutions. This includes the annual Career Week, Dean’s Welcome Back and State of the College presentations, commencement, and more.

The team may also assist the College of Design’s involvement in strategic university-wide initiatives or opportunities.

The office will consult and share promotions for other student-, staff-, and faculty-led events, but does not have the capacity to create original content for events that are non-signature events for the college. In rare circumstances, the office can and will provide support to help with important department or school events if the subject matter, presenters, or donor involvement overlaps with the dean’s or university’s strategic priorities.

If you need additional marketing support for your event beyond the guidance outlined below, please have your department head or school director fill out the Event Marketing Form and have them submit the form to our office.

Ways to Promote Your Event

There are several ways to share information or market an upcoming event with minimal effort:

  • Post to the UO Calendar using these instructions.
  • Create and submit a slide for the Lawrence Hall (and/or Hendricks Hall) digital displays. See the process for creating a slide outlined below.
  • Social media: Share through your own channels and tag @uoregondesign, @uoartdesign, @uoarchenv, @uopppm @uoregon, and/or relevant student groups for resharing.
  • Hang flyers around Lawrence Hall on the designated cork boards. Communications can identify the boards if needed.
  • Share via College of Design email listservs.
  • Ask fellow faculty members to share your slides in their classrooms.
  • Submit your slides to other campus buildings with digital displays. Be advised that the EMU screens require two weeks’ lead time and a fee.
  • Give your students an assignment or extra credit to attend the event.

Lawrence and Hendricks Hall Digital Signage

There are five digital signs in Lawrence Hall and one in Hendricks Hall that can be used to share upcoming College of Design events. Events must be relevant to College of Design students to be included on our signage. You can also submit event slides to other departments across campus.

Process:

STEP 1: Design a slide with the dimensions 1920×1080 pixels in JPG or PDF format. Our team will need to approve brand compliance before posting the slide.

STEP 2: Include the following on your slide:

  • Event Title
  • Date
  • Location
  • Photo (if you have one) or a designed background that is accessible for
  • Very brief description or benefits of attending, preferably in a bulleted list. Each slide is only on screen for 12 seconds, and viewers will be unable to read a lot of text. We recommend using 15-20 words maximum.

Please attempt to provide your signage at least 7 business days before you want your slides to appear. Slides provided less than 7 business days in advance will be ineffective at advertising event.
